Albi Analytics

This article will go over the different Analytic Cards Albi has created to help keep track of the important KPI's for your business.

Albi Analytics Filters

  • Ability to filter by project created date. Click the Presets option to see additional preset date filter options.

  • Ability to filter by Sales Staff

  • Ability to filter by Project Types

  • Ability to filter by Referral Sources

  • Ability to filter by Project Manager

 

 

Overview Analytics

  • Projects Created Card: Displays the total number of projects over time.

  • Project Estimated Revenue Card: Displays the total number of estimated revenue by project type

  • Projects Won Card: Display the number of projects won over time by project type each month.

  • Projects Accrual Revenue Card: Displays the income earned by each business through project accruals each month.

  • Average Job Size Card: Displays the average job size from all the projects that contain accrual revenue each month.

  • Projects Created by the Referrer Card: Displays the total number of projects generated by referrals.

  • Accrual Revenue by Referral Source Card: Display the total revenue generated by referrals.

  • Average Gross Margin Card: Displays the business's average gross margin over time. The gross margin refers to projects with a greater gross margin value than 0.

  • Closing Rate Card: Display the closing rate you have from new project leads and projects successfully landed. We calculate the closing rate as the number of projects with accrual revenues divided by the number of projects that do not have accrual revenue.

  • Project by Status Card: Display the number of projects you have across different statuses.

  • Top Referrers Card: Display a list of all the top referrers you have received projects from and how much accrual revenue, projects won, and closing rate of each referral.

 

Project Analytics

Project Average Time Card: This card provides you with the average time your projects take to start, complete, and invoice. As well as the average number of days the project is open and the average it takes to get paid for a project.

  • Average Work Started Time - this is calculated based on project dates. The calculation is the date "Inspection Date" is entered minus the number of days the "Estimated Work Start" date that was entered for the project.

  • Average Work Completed Time - this is calculated based on project dates. The calculation is the date" Estimated Work Start" date is entered minus the number of days "Estimated Completion" date that was entered for the project.

  • Average Days Open - this is calculated based on project dates. The calculation is the date "Created Date" was entered minus the number of days "File Closed" date was entered for the project.

  • Average Time to Invoice - this is calculated based on project dates. The calculation is the date "Work Complete" was entered minus the number of days "Invoiced" date was entered for the project.

  • Average Time to Paid - this is calculated based on project dates. The calculation is the date "Invoiced" was entered minus the number of days "Paid" date was entered for the project.

Timeframe to Inspection Card: This card provides you with the average amount of time it takes to get your project to "Inspection" once project is initiated. You will also be able to view the associated project name, project status, project type, project manager, project created date, Onsite Inspection date, and the average time to onsite.

  • Average Time to "Onsite" - This calculation is based on project dates. The calculation is the date "Created Date" was entered minus the number of days "Onsite Inspection" date was entered for the project. The average will be given in days.

 

Timeframe to Start Work Card: This card provides you with the average amount of time it takes to get your project from "Inspection" stage to "Work Start". You will also be able to view the associated project name, project status, project type, project manager, Inspection date, Estimated Work Start date, and the average time to work started.

  • Average Time to "Work Started" - This calculation is based on project dates. The calculation is the date "Inspection" was entered minus the number of days "Work Start" date was entered for the project. The average will be given in days.

 

Timeframe to Close Card: This card provides you with the average amount of time it takes to get your project from "Completed" stage to "Closed" You will also be able to view the associated project name, project status, project type, project manager, Completion date, Closed date, and the average time to closed.

  • Average Time to "Closed" - This calculation is based on project dates. The calculation is the date "Completion Date" was entered minus the number of days "Closed Date" date was entered for the project. The average will be given in days.

 

Project Milestones Over Time Card: This card provides you with all of your basic project information including project basic information, static project dates, and project financials.

  • Gross Margin - This calculation is based on your project financials. The calculation is the amount of "Accrual Revenue" entered minus the amount of "Cash Revenue" entered for the project. The average will be given in a percentage.

 

Project Manager Leader Board Card: This card will provide you with project financials generated by your Project Managers. It will also provide you with the project manager closing rate average.

  • Closing Rate - This calculation is based on your project financials. The calculation is # of projects won plus # of projects not won x 100. For a project to be considered "won" it must have an "Accrual Rev" greater than 0, if not it would be considered as "not won".

 

Financial Report Card: This card will provide you with the financials specific to each project you have in Albi.

  • Gross Margin - This calculation is based on your project financials. The calculation is the amount of "Accrual Revenue" entered minus the amount of "Cash Revenue" entered for the project. The average will be given in a percentage.

 

Projects in New Status: This card provides you with all your projects you still currently have in "New" status. Basic project information will be included on card.

 

 

Projects in Receivables Status: This card provides you with all your projects you still currently have in "Receivables" status. Basic project information will be included on card.

 

 

Sales Analytics

Projects Created by Referral Source Card: Card will be displayed as a Pie Chart. This card provides you with the number of projects per Referral Source. You have the ability to expand this card. Once expanded you have the option to select different Referral Sources and drill down the information. By drilling down that card by Referral Source it will provide you with all the project basic information.

 

Accrual Revenue Created by Referrals Card: Card will be displayed as a Pie Chart. This card provides the total revenue generated by referral source. You have the ability to expand this card. Once expanded you have the option to select different Referral Sources and drill down the information. By drilling down that card by Referral Source it will provide you with all the project basic information.

 

Sales by Referral Source Card: This card will provide you with the Total Revenues generated by each Referral source.

  • Closing Rate - This calculation is based on your project financials. The calculation is # of projects won plus # of projects not won x 100. For a project to be considered "won" it must have an "Accrual Rev" greater than 0, if not it would be considered as "not won".

Projects by Referral Source Card: This card provides you with a project basic information including referral source, referrer, salesperson, and some project financials.

 

Projects Created by Referrer Card: Card will be displayed as a Pie Chart. This card provides you with the number of projects per Referrer. You have the ability to expand this card. Once expanded you have the option to select different Referrer's and drill down the information. By drilling down that card by that Referrer it will provide you with all the project basic information.

 

Accrual Revenue by Referrer Card: Card will be displayed as a Pie Chart. This card provides the total revenue generated by Referrer. You have the ability to expand this card. Once expanded you have the option to select different Referrer's and drill down the information. By drilling down that card by that Referrer it will provide you with all the project basic information.

 

Sales by Referrer Card: This card will provide you with the Total Revenues generated by each Referrer.

  • Closing Rate - This calculation is based on your project financials. The calculation is # of projects won plus # of projects not won x 100. For a project to be considered "won" it must have an "Accrual Rev" greater than 0, if not it would be considered as "not won".

Project by Referrer Card: This card provides you with a project basic information including referrer, referral source, salesperson, and some project financials.

 

Sales Team Productivity Overview Card: Card will be displayed as a Bar Graph Chart. This card provides you with the total amount of activities completed by your sales team. Please be advised that this report only pulls the last 12 months of data. You have the ability to expand this card. Once the card is expanded you can select different members of your sales team and drill down to see the list of specific activities they've completed. By drilling down that card by Salesperson Activity type it will provide you with all the activity type information.

 

Revenue by Team Member Card: This card provides you with the Revenue totals generated by your Sales Team.

  • Closing Rate - This calculation is based on your project financials. The calculation is # of projects won plus # of projects not won x 100. For a project to be considered "won" it must have an "Accrual Rev" greater than 0, if not it would be considered as "not won".

 

Tips

  • Data is based on specific calculations. If you are not utilizing the correct fields within the projects, then no data will pull through in data fields on Analytic Reports.
