How Do I Fill Out and Sign PDF Forms in the Mobile App?

Learn how to complete PDF forms and capture signatures on site using the Albi mobile app.

You can open any PDF form attached to a project, fill it in, and collect a signature on your phone or tablet. You don't need to print or scan anything.

Opening a Form

  1. Open the project and go to the Documents tab.
  2. Tap the PDF form you want to complete.
    • Forms waiting on a signature show a Signature needed label.
  3. The form opens in Albi with two options at the bottom:
    • Edit: fill out the form yourself
    • E-Sign: hand the device to the customer so they can complete and sign the form

Filling In Fields

  1. Tap Edit.
  2. Fields you can fill in are highlighted in blue. Tap a field and type your information.
  3. For checkboxes, tap the box to check or uncheck it.
  4. While you're typing, use the toolbar above the keyboard:
    • Use the arrows to move to the previous or next field
    • Tap Clear Field to erase what's in the field
    • Tap the checkmark to finish the field
  5. Repeat for any other fields that need filling in.
  6. When you're done with text fields, tap outside the field to close the keyboard.

Note: If a field doesn't respond when you tap it, it's likely part of the printed form and not a fillable field.

Adding a Signature

  1. Tap the signature field on the form.
  2. The Add Signature window opens. Choose how to sign:
    • Draw: sign with your finger on the signature line
    • Image: use a picture of a signature
    • Type: type a name to use as the signature
  3. To change the ink color, tap the color circle in the bottom-right corner.
  4. Tap Add to place the signature on the form.

After the signature is placed, you can tap it to move it or drag the handles to resize it. You'll also see a menu with Copy, Delete, Inspector, and Note options.

Having the Customer Sign

Tap E-Sign to hand the form to the customer. They see only the form, not the rest of the app, so they can fill in their information and sign without access to anything else in Albi.

Note: If you only select the edit option, and capture a signature, the signature status will not update to reflect the captured signature. To fix this, click on the document again, select E-sign, then press Save. The status should update to show a "signed" status.

Saving the Form

When the form is complete, tap Save in the top-right corner. The completed form is saved back to the project.

Troubleshooting

The signature isn't showing up on the form. Make sure Add was tapped after signing, then tap Save at the top of the form. If it still doesn't save, check your internet connection and try again.

I can't tap into a field. Some PDF forms include parts that look like fields but are really just printed text. Only the fields highlighted in blue can be filled in.

Can I do this on the web? On the web, you can send a document to someone by email for their signature using the Signature Editor. See How Does the Open Signature Editor Work? Filling out a form and signing it in person on your device is done in the mobile app.
