How to Create a Project Report in the File Manager

A Project Report lets you pull photos, PDFs, and videos from a project's File Manager into a single, professional PDF — perfect for sharing inspections, photo documentation, or progress updates with adjusters, clients, or your team. Once it's generated, Albi automatically saves it to the project and emails it to whoever you choose.

Before you start

  • The project must already exist, and your files (photos, PDFs, or videos) must be uploaded to the File Manager first — the report can only include files that are already there.
  • Any user who can view the File Manager can create a report. No special permission is needed.
Step 1: Open the report tool
  1. Open the project you want to create a report for.
  2. Go to the File Manager tab.
  3. In the left sidebar, click the Actions dropdown.
  4. Select Create Project Report.

Step 2: Select your files
  • Click each file you want to include. A numbered blue circle appears on each one, showing the order they'll appear in the report.
  • Use the search box at the top to find files by folder, file name, or tag.
  • To include everything, click Select All.
  • When you're done, click the PDF Report button at the top of the panel.

 

Tip: If you click PDF Report without selecting anything, you'll see a "Please select a file" message.

 

Step 3: Fill out the report settings

A Create Project Report window opens. Fill in the following:

  • Report title — the title shown on the report (up to 30 characters). Defaults to "Project Report."
  • File name — the name of the saved PDF file. Defaults to "Project Report [Project Name]."
  • Notify emails — who should receive the finished report. Your email is added automatically; you can add project contacts or type in any email address.
  • Disclaimer text (optional) — any text you want printed on the report (up to 160 characters).
  • Report template — choose one of the three layouts below.
  • Group photos by folderYes puts each folder's photos on their own page(s) with the folder name shown. No lays them all out together.
  • Include notesYes lets you pick project timeline notes to add to the end of the report.
Choosing a report template
  • Photo Grid (4×4) — 16 photos per page. Best for large photo sets and keeping the page count down.
  • Photo Grid (3×3) — 9 photos per page. Larger photos, easier to see details.
  • Inspection Report — 4 photos per page with tags and full photo details. Best for assessments and inspections.
Step 4: Generate the report
  1. Click Generate.
  2. You'll see a message: "We have started creating the report. We will email you the report once it is done."

The report builds in the background, so you can keep working — you don't need to wait on the screen.

Where your report ends up

Once it's finished, the report is delivered in two places:

  • Saved in the File Manager, inside the project's Reports folder, where anyone on the project can find it.
  • Emailed to everyone listed in the "Notify emails" field, with a link to the PDF.
What's included in the report
  • Your company logo and project details (name, address, customer name, phone, and email)
  • The photos and files you selected, in your chosen layout
  • Photo tags and details (Inspection Report template only)
  • Your disclaimer text, if added
  • Any project notes you chose to include

Good to know

  • If photos seem to be "missing" from the selection panel, it's almost always because the file type isn't supported (only photos, PDFs, and videos appear) or the files haven't been uploaded yet.
